Frequently asked questions
Answers about CustomsPilot.Ai, customs filing and how CHA firms use it.
Still have a question? Ask usAbout CustomsPilot.Ai
What is CustomsPilot.Ai?
CustomsPilot.Ai is an AI copilot for customs operations. It captures shipment documents from email and WhatsApp, extracts and cross-checks them, prepares Bill of Entry or Shipping Bill data with HS codes and duty, and routes the filing-ready packet to a licensed customs broker to sign and file on ICEGATE. It then raises the duty recovery and service invoice.
Who is CustomsPilot.Ai built for?
It is built first for customs brokers (CHAs) and their operations teams in India, including CHA firms that are part of freight forwarders. Importers and exporters benefit through faster, more accurate clearance by their broker.
What is a filing-ready packet?
A filing-ready packet is everything a customs declaration needs in one place: the client's documents, the extracted and validated data, the drafted Bill of Entry or Shipping Bill with HS codes and duty, a pre-filing checklist and the audit trail. A CHA only needs to review, sign and file it.
Does the AI file customs declarations by itself?
No. CustomsPilot.Ai prepares the declaration, but a licensed customs broker reviews it, signs it with their own digital signature and sends it to ICEGATE. Your expertise stays in control at every step.
Does CustomsPilot.Ai work across countries?
CustomsPilot.Ai is built for global customs operations. Its six-step workflow is the same at every border, and a country adapter handles each authority's declaration format and filing gateway. The adapter for India's ICEGATE is live today, and more customs authorities are being added to the network.
For customs brokers
How does CustomsPilot.Ai help a CHA firm grow?
It removes the manual work around each filing: sorting documents, retyping data, cross-checking and billing. The same team can handle more shipments, respond to clients faster and bill every job on clearance.
Will my clients need to change how they send documents?
No. Clients keep sending documents by email and WhatsApp as they do today. CustomsPilot.Ai collects them from your inbox and WhatsApp Business number.
Who signs the declaration?
Your licensed customs broker. CustomsPilot.Ai prepares the packet, and the CHA reviews, signs with their digital signature and sends it to ICEGATE.
Platform and modules
What does the CustomsPilot.Ai platform include?
Six connected modules: Intake, Extract, Validate, Prepare, Approve & file, and Bill. Together they take a shipment from the client's first email or WhatsApp message to a signed declaration on ICEGATE and a raised invoice.
Can we use only some of the modules?
Yes. Each module works on its own and hands clean data to the next. Many CHA firms start with Extract and Prepare, then switch on Intake and Bill.
Does CustomsPilot.Ai replace our existing filing software?
CustomsPilot.Ai prepares the declaration data and supports signing and sending to ICEGATE. During onboarding we map how it fits alongside the tools your team uses today.
Which customs documents can the AI extract?
Commercial invoices, packing lists, bills of lading, air waybills, certificates of origin and purchase orders, as native PDF, scanned PDF, image or Excel.
How does CustomsPilot.Ai suggest HS codes?
It reads the product description and specifications, proposes an 8-digit code, and shows the heading, chapter notes and interpretation rules it used. Codes your team approved before are reused for repeat products.
Indian customs duty
How is import duty calculated in India?
Basic Customs Duty (BCD) is charged on the assessable value. Social Welfare Surcharge (SWS) is usually 10% of BCD. IGST is then charged on the assessable value plus BCD plus SWS. Compensation cess, anti-dumping or safeguard duty are added where they apply.
What is assessable value in customs?
Assessable value is the value on which customs duty is calculated. For imports it is generally the CIF value of the goods (cost, insurance and freight) converted to rupees at the customs exchange rate notified for the date.
Pricing
How is CustomsPilot.Ai priced?
Plans are based on the number of filing packets your desk prepares each month, with team seats included. Contact us for current pricing for your volume.
What counts as a filing packet?
One Bill of Entry or one Shipping Bill prepared in CustomsPilot.Ai, including its documents, validation, draft, duty worksheet and audit trail.
Security
Is shipment data secure in CustomsPilot.Ai?
Data is encrypted in transit and at rest, access is controlled by role, branch and client, and every action is logged with the user and time.
Who owns the data?
You do. Your client documents and declarations belong to your firm, and you can export or delete them in line with your retention policy.
Is client data used to train AI models for other customers?
No. Your documents are used to serve your firm. Classification memory is kept within your own workspace.
Global
Which countries does CustomsPilot.Ai support?
CustomsPilot.Ai is built for global customs operations. Its first country adapter, for ICEGATE (Bill of Entry and Shipping Bill), is live today. Adapters for further customs authorities, including the Gulf, Southeast Asia, UK & EU and North America, are on the roadmap and prioritised with customers.
Can multinational companies use one CustomsPilot.Ai platform across countries?
That is what the platform is designed for. Intake, extraction, validation and billing work the same in every country, and each country adapter adds the local declaration format and filing gateway, so teams in different countries work in one consistent flow.
How will CustomsPilot.Ai work in other countries?
Intake, Extract, Validate and Bill work the same way everywhere because shipping documents are global. For each new country, CustomsPilot.Ai adds the local declaration format and filing gateway to the Prepare and Approve & file steps.
